Established Roofing Company with over 30 years of experience has an opening for Administrative Assistant, Monday - Friday 8:30am - 4pm.\n\nEssential Functions:\n• Answer incoming phone calls to the branch\n• Manage electronic and paper files: Accounts payable, timesheets, job files, employee files\n• Manage the work order process: creating, uploading, approvals, billing\n• Process and enter invoices\n• Conduct billing activities in Sage: lien waivers, pay applications and attachments\n• Manage office supply inventory and purchasing\n• Conduct weekly payroll processing for the branch\no Review timesheets\no Record days off and track available PTO\n• Manage branch cash account: deposits, per diem payments, employee loans, payroll adjustment pay outs\n• Manage required files for jobs: job setup, permits, SDS documents, change orders, warranty processing, and job closeout\n• Assist with submission of bids and bid bonds\n• Oversee vehicle maintenance tracking and tag renewals\n• Coordinate with vendors as needed\n• Provide required documentation upon customer request: COIs, W-9s, pre-qualifications\n• Completes expense reports as needed\n• Conducts collections activities on past due accounts\n• Manages branch purchases in Sage, issuing and committing POs as needed\n• Other duties as assigned by management
